Pathways to Excellence Tier Renewal
Maintaining the Value of Excellence
Achieving a Pathways to Excellence Tier designation is a significant accomplishment. It demonstrates an organization’s commitment to excellence, accountability, ethical leadership, and continuous improvement.
The Tier Renewal process ensures that Pathways recognition remains meaningful and continues to reflect current organizational practices and performance. Renewal allows recognized agencies to demonstrate their ongoing commitment to the standards and principles that earned them recognition in the first place.
Agencies will receive notification of their upcoming renewal 18 months before their recognition expires and will have 18 months to complete renewal requirements and submit materials. Renewal applications are initiated through MemberSuite.

Policies
Agencies with Multiple Tier Achievements
Agencies that have earned more than one Tier designation only need to complete the renewal requirements for their highest achieved Tier.
For example, an agency with Bronze and Silver recognition completes only the Silver renewal requirements. Or, an agency with Bronze, Silver, and Gold recognition completes only the Gold renewal requirements.
Successful renewal of the highest Tier will maintain recognition for all previously earned lower Tiers.
Advancing to a Higher Tier
When an agency achieves a higher Tier designation, a new recognition period begins based on the newly achieved Tier. Any previously scheduled renewal requirement for a lower Tier is waived. Agencies are not required to renew prior Tier achievement to advance to higher Tiers.
If Recognition Expires
Organizations that do not complete renewal requirements before the end of their recognition period will no longer hold an active Pathways designation. Upon expiration:
- Pathways badges, logos, and related branding may no longer be used.
- Expired designations cannot be renewed retroactively.
- Organizations seeking recognition after expiration must complete the full application and review process for the applicable Tier.
Renewal Process
1. Renewal Notification
The National Community Action Partnership will notify agencies at least 18 months before their recognition period expires.
2. Submission of Renewal Materials
Agencies complete the applicable renewal requirements and submit all required documentation along with a $250 renewal application fee. The application fee supports the administrative and peer review process and is nonrefundable.
3. Review
Renewal materials undergo administrative and peer review to verify continued alignment with Pathways to Excellence requirements and completion of all applicable renewal activities.
If questions or areas of concern are identified during the review process, agencies may be asked to provide additional information or clarification.
4. Renewal Approval
Upon approval, the agency will be invoiced for the applicable renewal fee, less the $250 application fee already paid.
Once the renewal fee is received, the agency’s Tier designation will be renewed for a new recognition period based on its highest achieved Tier.
Frequently Asked Questions
When will I know that renewal is approaching?
Agencies will receive notification at least 18 months before their recognition period expires.
If my agency earned multiple Tiers, do I have to renew each one?
No. Agencies only complete the renewal requirements for their highest achieved Tier.
What happens if we move up to a higher Tier before renewal is due?
A new recognition period begins when a higher Tier is achieved, and the renewal requirement for the lower Tier is waived.
What if we haven’t maintained alignment with the Standards of Excellence?
Tier Renewal is intended for agencies that continue to demonstrate alignment with the Standards of Excellence and Excellence. Agencies that are no longer meeting these requirements are not eligible for Tier Renewal. Organizations that have experienced significant changes or challenges are encouraged to contact the National Community Action Partnership to discuss available options and next steps.
What if our Category 7 results or agency scorecard show mixed or declining results?
Variations in performance are expected and do not automatically affect eligibility for renewal. The purpose of the renewal process is not to confirm perfect results or continually upward trending data, but to confirm that your agency continues to use effective systems to measure, manage, and improve performance over time.
If your results show significant changes or downward trends, provide context about the factors contributing to those results and describe the actions your agency is taking to address them. Reviewers will consider both your results and your organization’s response to emerging challenges.
What if our agency has audit findings?
A single audit finding will not automatically prevent an agency from renewing its Tier designation, provided the finding is not a significant concern, and the agency has taken appropriate corrective action.
However, multiple findings, repeat findings, or findings that indicate significant weaknesses in financial management, governance, compliance, or internal controls may affect eligibility for Tier Renewal. Agencies should be prepared to demonstrate how identified issues have been addressed and resolved.
What could prevent my agency from achieving Tier Renewal?
Most agencies that complete the required renewal activities and continue to demonstrate alignment with Pathways to Excellence principles should be able to successfully renew their designation. However, an agency may not be eligible for renewal if:
- Required renewal materials are not submitted.
- Required renewal activities, such as the Organizational Profile update or Excellence Team eCourse completion, are not completed.
- The agency is unable to attest to continued alignment with the Standards of Excellence and Excellence & Ethics principles.
- Significant audit findings, repeat findings, or other material governance, compliance, or financial management concerns remain unresolved.
- Required performance information, including scorecard data or other required results, cannot be provided.
- Submitted documentation indicates substantial weaknesses in organizational performance, accountability, governance, or management systems that have not been adequately addressed.
- Information provided in the renewal submission is incomplete, inaccurate, or misleading.
When concerns are identified, agencies may be asked to provide additional information, context, or evidence of corrective action before a renewal determination is made.
If we complete our renewal before our current designation expires, will it affect our recognition period?
No. Agencies may complete renewal at any time during their renewal window without affecting their current recognition period.
A renewed tier designation does not replace or shorten an agency’s existing recognition. Agencies that complete renewal before their expiration date will continue to hold their current designation through the end of the current recognition period.
Completing renewal early simply ensures that recognition can continue without interruption when the current designation expires. Agencies do not lose recognition time by completing renewal before their expiration date.
